The purpose of processing

We only use the information provided in the nomination form for the Connected Communities Celebration and in associated publicity.

If Nominees are invited to attend the Connected Communities Celebration, we will also collect further information, as listed below, which will only be used for the Connected Communities Celebration.

Data subjects

The data subjects will be those who make the nominations and those who are nominated, along with guests of those who receive an invitation to attend the Connected Communities Celebration

Personal data

We will only collect the following data

Nomination form which will include:

Name (Nominator and Nominee) or name of Nominee’s parent/guardian, if under 18 years of age

Address (Nominee)

Email address (Nominator and Nominee)

Telephone number (Nominator and Nominee)

How the Nominator knows the Nominee

Nominator’s Organisation (if nominating on behalf of)

Details included in reasons for the nomination including length of time the Nominee has carried out the work they are being nominated for

Invitation to Connected Communities Celebration Event:

Name of Nominee and Guest

Email of Nominee

Dietary requirements/food allergies of nominee and guest (if applicable)

Access requirements of nominee and guest (if applicable)

Photo consent of nominee

How is it used?

The information provided in the nominations will be utilised to select individuals, teams and businesses from various fields, including volunteers, charities, carers, and those who serve the community.

All Nominees will receive a letter of recognition and a keepsake from the Malvern Hills District Council Chairman, which will be posted to them or presented to them at the Council House, depending on the Nominees preference.

The Nominators have the opportunity to enter the Nominee/s into a prize draw, to win a pair of tickets to a Celebration event, taking place in 2026. Prize draw winners will be notified in 2026 and invited to attend the event, which will take place within the Malvern Hills District area. The information provided by those invited to attend the celebration event will be used to ensure any specific requirements they (and their guest) have are met.

How long is the personal data retained by the Council?

We will retain the nominations for no longer than 6 months after the deadline for nominations and prize draw winners for 1 year after the Celebration event has taken place.
